7 signs your business is paying for software it doesn’t need

4 minute read · · Apexia Labs

Software costs rarely jump all at once. They creep up through renewals, new users and extra features. If any of these sound familiar, there’s a good chance you could pay less.

1. Nobody is quite sure what you pay for

If there isn’t one list of every app and system, with costs and renewal dates, it’s very likely something is being paid for that doesn’t need to be.

2. You have two tools that do the same job

Two ways to share files, two messaging apps, two places to store customer details. Each one made sense when it was bought, but now you’re paying twice.

3. You pay for people who’ve left

Many systems charge per person. When someone leaves, their account often isn’t removed, and the monthly charge carries on.

4. Your team types the same thing in twice

If orders, invoices, timesheets or customer details are copied from one system into another, that’s staff time you’re paying for. It’s also where mistakes creep in.

5. Contracts renew without anyone checking

Automatic renewals are convenient, but prices can rise at renewal, and you may be locked in for another year before anyone notices.

6. You’re on a bigger plan than you need

It’s easy to upgrade for one feature and never go back. Check whether you still use what you upgraded for.

7. You rely on an old system with a costly support contract

Older systems can carry high support fees. Sometimes replacing them costs less over a few years; sometimes connecting them to newer tools is the better answer. It’s worth doing the sums.
